Assisting leaseholders in managing their block of apartments effectively requires a multi-faceted approach, combining administrative, financial, maintenance, legal, and customer service support. Here's a detailed guide on how Carrick & Reid Property Management, help assist leaseholders in managing their block:

Administrative Support 

  • Document Management: For each site we create an organised system for storing important documents such as leases, insurance policies, meeting minutes, and compliance certificates. Our online portal provides a platform for leaseholders to view tailor made documents for their development.   

  • Communication: We establish clear and consistent communication channels between leaseholders. This includes regular newsletters, emails, and our online portal for updates and notices.

  • Meeting Coordination: We organise and facilitate annual general meetings (AGMs) and other essential meetings, ensuring all leaseholders are informed and invited to participate. Meetings can be held at our office, on site or at a convenient place chosen by the directors.

Financial Management 

  • Budgeting: We assist in preparing and managing the annual service charge budget for each development, including forecasting expenses, setting aside reserves for major repairs, and monitoring expenditure.

  • Service Charge Collection: We facilitate the collection of service charges from leaseholders, ensuring transparency in how funds are used. Accounts are produced annually and reviewed by external accountants before being issued to leaseholders.

  • Financial Reporting: Provide regular financial reports to Directors, including income and expenditure statements, balance sheets, and budget variances.

Maintenance & Repairs 

  • Scheduled Maintenance: We develop and implement a schedule for regular maintenance of communal areas, such as cleaning, landscaping, and routine inspections.

  • Emergency Repairs: Our 24 hour support system is in place for handling emergency repairs promptly, with a list of trusted contractors and a clear communication plan implemented for each site.

  • Long-Term Planning: We plan and budget for long-term capital projects, such as roof replacements or major system upgrades including fire alarms etc, ensuring appropriate funds are allocated in the reserve fund. 

Legal & Compliance 

  • Lease Compliance: We ensure all leaseholders are aware of and comply with their obligations under the terms of their lease.

  • Health and Safety: We maintain compliance with health and safety regulations, including fire safety, electrical testing, and conducting regular risk assessments. 

  • Dispute Resolution: We provide support in resolving disputes between leaseholders and residents, using mediation and taking legal advice when necessary.

Technology  Solutions 

  • Property Management Software: We use an RICS accredited system to ensure we are following best practice in the industry. Our property management software ensures we streamline administrative tasks, track maintenance requests, and manage financials efficiently.

  • Online Portals: We set up an online portal where leaseholders can access important documents, review their service charge accounts, receive communication and updates on things taking place within their building and report any issues to us. 

Customer Service 

  • Responsive Communication: We ensure that a responsive system is in place for addressing leaseholder and tenant enquiries and concerns promptly with an out of hours support service operated by PropCall.  

  • Regular Updates: We keep leaseholders informed about ongoing projects, financial health, and any issues affecting the development through regular updates via an email newsletter.​
